How to Cancel an Order on Shopify (and Keep the Sale)

Cancelling an order on Shopify is a few clicks, but it is worth slowing down for two reasons: it cannot be undone, and it sends revenue back out of your business. This guide walks through the cancel flow step by step, what each option does, and then the part most guides skip: how to keep the sale when the customer was only trying to fix something.

How to cancel an order in Shopify admin

Open the order in Shopify admin, choose More actions, and select Cancel order. Shopify shows a dialog with a handful of decisions:

  • Refund amount. Choose a full refund, a partial refund, or none. Refunds go back through Shopify to the original payment method, or you can issue store credit instead.
  • Restock items. Decide whether the cancelled items return to inventory. Leave it on for most cancellations so stock stays accurate.
  • Send notification. Choose whether Shopify emails the customer to confirm the cancellation.
  • Cancellation reason. Pick from reasons like customer changed their mind, items unavailable, fraudulent, or other. This is for your records and reporting.

Confirm with Cancel order, and Shopify marks the order as cancelled and processes any refund you chose.

Cancelling cannot be undone. If the customer changes their mind afterward, you have to duplicate the order or create a new one, and they may have to pay again. When in doubt, edit the order instead of cancelling it.

What cancelling actually does

A cancellation closes the order out. The items can be restocked, the money can be refunded, the customer can be notified, and the order moves to a cancelled state that you cannot reopen. It is the right tool when an order genuinely should not proceed, a duplicate purchase, a fraud flag, or an item you cannot fulfill. It is the wrong tool when the customer actually wants to keep buying from you and is just trying to fix a mistake.

The catch: most cancellations are fixable problems

A large share of cancellation requests are not really about wanting the money back. They are about a wrong size, a typo in the shipping address, one too many of an item, or a change of heart that a small nudge would reverse. Cancelling and refunding those is the most expensive possible response: you lose the whole sale to solve a problem a five-second edit would have fixed. The goal is to catch the fixable cases before they turn into refunds.

Let customers cancel (and self-correct) without a ticket

Natively, cancelling is a merchant-only action, so every request starts with the customer emailing support and waiting for someone to open the order in admin. An order editing app changes that. Mayra lets customers handle an eligible order themselves after checkout, within a window and rules you control, so a wrong size becomes a self-serve variant swap and a bad address becomes a self-serve address fix, instead of a cancellation. When a customer does still want to cancel, they can do it themselves rather than tying up your team.

Keep the sale: offer an edit or store credit first

The highest-value moment in the whole flow is the instant before a cancellation goes through. That is where you can intercept it. Mayra's cancellation deflection can present the customer with a better option at that moment: fix the order instead of cancelling it, or take store credit with a small bonus instead of a refund. If they accept, you keep the order or keep the revenue; if they decline, the cancellation proceeds as normal.

This is where a cancellation turns from pure loss into a save. The full strategy is in how to reduce order cancellations on Shopify and the mechanics of the credit offer are in cancellation deflection on Shopify.

Read your cancellation reasons

Whatever tool you use, pay attention to why orders get cancelled. If the reasons cluster around wrong variants or address mistakes, that is a signal you can prevent most of them with self-serve editing rather than absorbing them as refunds. Cancellation reasons are not just paperwork; they are a to-do list for what to make self-correctable next.

Cancel when you must, keep the sale when you can

Cancelling an order on Shopify is simple: open the order, choose Cancel order, set the refund and restock, and confirm. Just remember it is permanent and it sends revenue out the door. Before you reach for it, ask whether the customer wanted to leave or only wanted to fix something, because most of the time an edit or a store-credit offer keeps a sale a refund would have lost.
